[Lead Applicant's First Name]

Dear [Address of Lead Applicant's School],

I am writing on behalf of the Albany Education Foundation Board of Directors to thank you for submitting an application for a [name of project/proposal] Mini-Grant. Your commitment to your students is evident in your application. I am very pleased to inform you that we have approved your [AEF reviewer notes] proposal for [amount requested]. [Number of Field Trip Apps received] We believe that it will enable you to provide a program that will be of great benefit to your students.

This year, we received [Total Amount Requested for FT Apps] applications requesting [Number of MG Apps Approved]. The AEF board has approved [Number of Teachers receiving MG Awards] grants to more than [Total $ Amount Awarded for Minig Grants] Albany teachers serving almost all of the District’s students (some students are affected by more than one grant), for a total of [$ Range of MG Requests]. Awards in this round ranged from [Number of Fully Funded MG]. We were pleased to fully fund [Deadline for Grant Report] applications. We are delighted that your application is one we could fund.

Your grant requests funding for books or other items which may be available at Barnes & Noble. As such, Marsha Skinner from the AEF Board will work with you to identify the specific items and purchase them on AEF’s “wrapping day” on December 3. In this way, AEF will earn commissions that will benefit the District’s libraries. We will deliver the items to you and a check for the balance of the grant, if any, as soon as possible. Any check will be written to you. You may need or desire the District to manage the grant funds for you. If so, you should deposit the check in your account and write a check to the District. Follow District procedures in submitting the check and making purchases.

Please remember that by signing the Foundation’s Points of Agreement during the application process, you have agreed to provide us with a Mini-Grant Report with copies of receipts for your expenditures of AEF funds, and at least one digital photograph related to your project for potential use on our website, Facebook page, or in other publicity needs. Unfortunately, we can only post photos in which individual students are unrecognizable (e.g., no faces). All these elements are due by [Lead Endorser], at the latest. The report will be an attachment to the original application you submitted.

Again, CONGRATULATIONS and THANK YOU for participating in our Mini-Grant Program. Please acknowledge this grant from the Albany Education Foundation in your written and verbal communications with parents and the community. We greatly appreciate your work with our children, and we look forward to reading your grant report and learning how students benefitted from your project.
